This notice covers these public information pages, enquiries sent to us, and the company’s private content-production and social-publishing tools. Social platforms and hosting providers also handle information under their own privacy notices.
A public website, without public accounts
You do not need an account to read these pages. There is no visitor login, customer registration, checkout, chatbot, newsletter form or public file upload. Only authorised administrators can use the separate production studio.
These pages do not contain advertising pixels, embedded social players or analytics scripts added by us. Our page code does not set cookies or store information in your browser. Hosting, security and basic traffic measurement still take place, as explained below.
What information is involved
When you visit
The hosting infrastructure receives technical information such as your IP address, requested page, time of request and browser information so it can deliver and protect the website. The hosting service may set security or visitor cookies and produces page-view and unique-visitor statistics. We can review these statistics to understand traffic to our public pages. This does not give visitors access to our private server.
When you contact us
We receive your email address, any name you provide, your message and any attachments you choose to send. We use them to answer enquiries, investigate concerns and handle privacy requests.
When an administrator connects a channel
The studio can receive account or channel identifiers, display names, authorisation tokens, permissions and token expiry information. It stores video files, titles, captions, upload identifiers, schedules, publishing results and operational logs for the company’s content.
When we review content performance
Authorised platform APIs may return measures such as view, like, comment and share counts, and other available performance statistics. The studio uses these to understand how our own posts perform. It does not provide a visitor account database or a feature that downloads viewers’ private messages.
If you interact with our posts on a social platform, we may see information that platform makes available to the channel owner, such as your public profile name and comment. The platform’s own privacy settings and policies also apply.
Why we use information
We use information to run and protect the website and studio, manage authorised company channels, publish our videos, understand their performance, respond to messages, investigate rights concerns and meet applicable legal obligations.
Our usual UK data-protection basis is legitimate interests: operating a secure creative project, communicating with people who contact us and managing our own published content, balanced against individuals’ rights. Where processing is required by law, the basis is legal obligation. Where consent is required, we seek it and it can be withdrawn.
We do not sell personal information or use this website to build advertising profiles. The studio does not make decisions about visitors that have legal or similarly significant effects.
AI, narration and personal information
AI-assisted tools help prepare creative text and metadata. Narration services may receive the words to be spoken. Text processing can run locally; optional cloud AI services may be used if the administrator enables them.
The public website does not ask you to submit prompts or personal stories to an AI system. Our production workflow is designed around our creative content, not around profiling visitors. Social-account tokens, passwords and private messages are not inputs for training our own AI models.
External AI or speech services process the content sent to them under their own service terms and privacy policies. The use of an AI tool does not mean we can guarantee the accuracy of its output.
Who may receive information
- Website hosting: these public pages use OpenAI Sites and its hosting infrastructure, including Cloudflare. Providers process technical requests to serve and protect the site and provide basic traffic statistics. See the OpenAI Privacy Policy and Cloudflare Privacy Policy.
- Email: messages sent to our contact address are handled through Google’s email service. See the Google Privacy Policy.
- Social platforms: authorised publishing sends the relevant video and metadata to the selected platform. YouTube, TikTok and Meta process account and audience information under their own policies: Google/YouTube, TikTok and Meta.
- AI and speech providers: where used, Google, OpenAI or Microsoft may receive creative text for the requested task. See their Google, OpenAI and Microsoft privacy notices.
- Other necessary disclosures: professional advisers or authorities may receive information when reasonably needed to address legal obligations, security incidents or legal claims.
We do not publish administrator credentials or authorisation tokens on this website. Service providers may operate in countries outside the UK. Where UK transfer rules apply, the applicable provider arrangements and required transfer safeguards must be considered. Contact us for information about a particular processing activity.
YouTube permissions and control
QuoteMixer uses YouTube API Services to manage authorised company-channel uploads and retrieve available channel/video information and performance counts. Authorisation is for the company’s administrator, not for visitors to these pages.
The connected account holder can revoke access through Google’s account permissions page. They can also contact us to request deletion of information held by QuoteMixer. Revoking a token does not itself remove a video already published on YouTube; the channel owner can manage that video in YouTube.
For TikTok, Instagram and Facebook, account holders can similarly review or revoke app permissions using the relevant platform settings. Requests about data held by that platform should also be directed to it.
Keeping, protecting and deleting information
Information is kept for the purpose for which it is needed, rather than under one fixed retention period for every category. Enquiries may need to remain available while an issue or related claim is unresolved. Production and publication records support operation of the company’s channels, error recovery and rights management. Platform API data remains subject to the relevant platform’s storage and deletion rules.
Not every record has automatic deletion. The administrator must review retained information and handle deletion requests. Where information must remain for a legal reason or to resolve a dispute, we explain the applicable limitation. Copies in backups may remain until those backups expire under their retention schedule.
Access to the studio is restricted, and stored integration secrets are encrypted. We take reasonable steps to protect information, but no online system can guarantee absolute security. Please email us rather than sending sensitive information through a public social comment.
Your choices and rights
Depending on your circumstances and applicable law, you may ask to access, correct or erase your personal information; restrict or object to its use; receive portable data where that right applies; or withdraw consent for processing based on consent.
Email [email protected] with the subject “QuoteMixer data request”. Tell us what you are asking for and enough detail to locate the information. We may need proportionate identity checks. Please do not send an identity document unless we explain why it is necessary.
We aim to respond within one month, subject to any lawful extension or exception. You can also complain to the UK Information Commissioner’s Office or the relevant authority where you live.
Children and changes to this notice
Our content is general encouragement. We do not offer children’s accounts or knowingly ask children to provide personal information on these pages. A parent or guardian can contact us about information a child has shared with us.
